Office Manager, Social Justice Collaborative

 

Social Justice Collaborative (known as SJC) is a 501(c)(3) nonprofit legal services organization based in Berkeley with satellite offices in Modesto and San Rafael. We focus on serving low-income immigrants in their deportation cases in court. SJC serves about 1,200 immigrant families annually, providing free and low-cost services for non-citizens.

This work is intense and stressful but our staff share a commitment to our service-oriented mission. The need for compassionate and skillful legal services for immigrants has never been greater. With the Trump Administration’s ongoing attacks on immigrants and their families, SJC remains one of the few organizations providing essential removal free or low-cost defense legal services. In 2019 alone, SJC won asylum for more than 100 individuals who fled their countries of origin in order to seek safety and security in the United State

SJC staff includes directors, attorneys, paralegals, legal assistants, receptionists and interns. SJC staff members do some of the hardest work imaginable for people who are in the worst times of their lives. SJC staff members pride themselves on their dedication to the work, compassion for our clients, and maintenance of a collegial work atmosphere.

In order to enable the team to meet the growing demand, we are seeking an office manager. The office manager will interface with our staff, organize the offices and keep them running efficiently, as well as coordinate between different aspects and functions of office life. This position is very interdisciplinary and presents new and ongoing challenges.

The work of the office manager is critical to the effective functioning of Social Justice Collaborative. Senior staff members are frequently in court, often suddenly, and so the office manager must be comfortable taking an authority role among staff. Our goal is to bring someone onboard as office manager who will learn and grow into doing more operations and leadership work in the future

The office manager will be interfacing with all personnel in the office, including attorneys, paralegals, legal assistants, receptionists, and interns, as well as volunteers, vendors, contractors, and SJC legal clients.

This is a full-time position in our Berkeley office. Hours are weekdays 8:30 AM-6:00 PM, with occasional need to work on weekends, after/before hours, and also travel to our Modesto and San Rafael offices.

This position reports directly to the Executive Director and Legal Director.

Minimum Qualifications

  • 5 years of previous administrative experience required

  • 1-2 years of management/supervision experience required

  • Speak, read, and write clearly in English. Spanish fluency is preferred but not required

  • Tech savvy, including excellent adaptation to new technology, including fluency in MacOS software and related suites

  • An interest in developing as an Administration & Operations professional

  • Passion for legal support for immigrants

Overview of Main Duties

Operations (50%)

  • Oversee the smooth running of the offices

  • Supervise “EAD” clinic and intake days

  • Manage office equipment

  • Monitor office supplies for offices, ensure stock and reorder as needed

  • Manage handouts

  • Organize and run bi-weekly staff meetings

  • Maintain staff/intern schedules and phone extension lists

  • Organize staff-appreciation events, including birthdays and end of year

  • Supervise cleaning team to ensure office is well-kept and clean

  • Handle office emergencies and build procedures to minimize them

Staff & Intern Recruitment (20%)

  • Recruit paid and unpaid interns from variety of local Universities

  • Arrange interviews for interns with team members

  • Onboard interns and staff

  • Organize once-a-year intern training

  • Post job openings, in consult with Directors

  • Onboard new hires

Financial (20%)

  • Prepare bank deposits weekly

  • Track chronically overdue payments and accounts receivable

  • Review staff timecards, manage timecard issues

  • Assist with preparation of payroll

External Relations (10%)

  • Oversee donor management

  • Updating donor profiles

  • Manage promotional materials

  • Maintain and create business cards, office materials, flyers

  • Support Legal Director in organizing pro bono workshops

  • Support the Executive Director in fostering growth of the organization

Compensation & Benefits

  • $50,000 - $55,000
